Pledge to go paperless starting this summer. The ISS department is launching an Electronic Forms project to convert paper forms (e.g. Leave Request, FERPA Authorization Form, etc.) to electronic format. Among other benefits, electronic forms are convenient to fill out, form entries can be standardized with drop down options and overall they are legible. Simple forms can be electronically forwarded to their destination, while forms that require multiple signatures can be routed from person to person electronically. Electronic forms reduce manual processing of data and the management and flow of paper on campus. To minimize the impact of conversion on already stretched workloads, departments have the flexibility to choose which forms to convert and how fast electronic forms are adopted. Aside from saving time and money, this project also enhances Cal Lutheran’s Sustainability initiative.
There are several objectives to the e-forms initiative:
- Reduce the expenses associated with the purchase and use of paper, copying costs, etc.
- Provide a self-service environment for students and other staff to lookup submitted forms
- Reduce the time it takes to process paper forms, automating the bulk of data entry
- Automate the flow of forms from individuals into electronic repositories
ISS will hold informational meetings and consult with departments on the various options they might have when it comes to converting paper or manual processes to electronic. Individuals or departments interested in being early adopters of e-forms can submit inquiries to email@example.com. As with paper forms, due to the sensitivity of data on some forms, VP or HR approval may be required prior to publishing e-forms.
